E-commerce Bookkeeping: Preparing for Your First Hong Kong CPA

The most common reason overseas e-commerce sellers fail to secure a Hong Kong offshore tax exemption is not a flaw in their business model, but a failure in their bookkeeping.
Under the Hong Kong Companies Ordinance, every incorporated entity must maintain accurate financial records and undergo a statutory audit by a Certified Public Accountant (CPA) every year. For high-volume businesses like dropshipping or Amazon FBA, neglecting bookkeeping until the end of the year is a recipe for disaster.
Why High-Volume E-commerce Bookkeeping is Different
Traditional retail businesses process a few dozen large invoices a month. A successful Shopify or Amazon store might process thousands of micro-transactions daily across multiple currencies.
If you hand a CPA thousands of unorganized PayPal and Stripe receipts 18 months after incorporation, the audit fees will skyrocket, and the auditor will not be able to verify the transaction flow required and tax representative can hardly prove your offshore status.

Implement Cloud Accounting Immediately
Do not rely on Excel spreadsheets. Connect your Amazon Seller Central or Shopify store directly to a cloud accounting platform like Xero or QuickBooks. Use integration apps (like A2X or Link My Books) to automatically aggregate daily sales, merchant fees, and taxes into clean journal entries.
Monthly Gateway Reconciliation
The money in your Stripe or Amazon account is not revenue until it hits your bank. You must perform monthly reconciliations, matching the payout deposits in your Hong Kong corporate bank account against the settlement reports from your payment gateways.
The Offshore Document Trail
During the audit, your tax representative will select a sample of your transactions and ask for the underlying proof.
To support an offshore tax claim, you must systematically save:
- Digital purchase orders sent to your overseas suppliers.
- Commercial invoices from your manufacturers.
- Third-party shipping documents (Bills of Lading or tracking logs) proving the goods shipped directly to your overseas customers without entering Hong Kong.

Failing to maintain proper records may result in a reject your offshore claim and assess your global profits at the standard 16.5% tax rate, alongside potential penalties for poor record-keeping.
